If the package is stuck at the post office

How to file a search request

If the timelines already look strange, file a search request for the postal shipment. Russian Post accepts inquiries for searches through the website as well as through the post office. On the official complaints page, you can choose an inquiry for searching the shipment or another issue.

The request is usually filed by the sender because they are the ones who entered into the shipping contract and received the receipt. The recipient can also contact if they have the necessary information. In practice, it's better to act together: the recipient checks the post office, and the sender files the search with the receipt.

You will need:

  • tracking number;

  • receipt or shipping slip;

  • full name, address, and phone number of the sender;

  • full name, address, and phone number of the recipient;

  • description of the contents;

  • declared value, if any;

  • screenshots of correspondence with the seller, if it's a purchase;

  • photos of the packaging, if they are still with the sender.

Requests for the search of domestic and international postal shipments are accepted within six months from the date of dispatch. This is the official timeframe, so you can't delay for six months: the sooner you start the search, the greater the chances of quickly finding the bag, box, or erroneous issuance.

How long to wait for a response

For international shipments, the review period can take from 30 to 90 days because the chain involves operators from different countries and the rules of the Universal Postal Convention. For domestic packages, the response usually comes faster, but much depends on the route, type of shipment, and completeness of documents.

Don't sit silently after filing. Save the inquiry number, screenshot of the application, and the date of submission. Check the status every few days. If you submitted a paper version at the post office, ask for a copy with a receipt stamp. Without a stamp, it will be difficult to prove that the request was accepted at all.

What to do if the package is declared lost

If the search yielded no results, Russian Post must provide an official response. The next question is about compensation.

The amount of compensation depends on the type of shipment:

  • for a package with declared value β€” according to the amount of that value;

  • for a regular registered shipment β€” according to postal communication rules;

  • for an international package β€” taking into account international norms;

  • for a simple letter or simple small package β€” almost without leverage, because such shipments are not tracked.

If the purchase was from an online store

Here the logic is different. For the recipient, the main interlocutor is the seller or marketplace. You did not choose the tariff, did not hand over the box to the post office, and did not receive a receipt. Therefore, demand from the seller a proper tracking number, confirmation of shipment, and assistance with the search.

A working scheme:

  1. Open the order card.

  2. Compare the promised delivery date and the last status.

  3. Write to the seller: "The shipment is not moving, please check the delivery and file a search request."

  4. Attach a screenshot of the tracking.

  5. If there is no response β€” open a dispute or contact support of the platform.

Do not agree to the eternal "wait a couple more days" if the order protection period is ending. Especially for international shipments. There, the seller can drag out the time until the dispute window closes.

Common mistakes of recipients

The most common mistake is waiting too long. A person looks at the stuck status, gets nervous, but does nothing. Then it turns out that the storage period expired, the package went back, and there is no evidence of the inquiry.

Another mistake is arguing with the operator at the issuance. The operator is not always to blame. It's better to rely on documents: tracking, status, passport, date, inquiry number. The postal system loves paper and precise wording.

A bad idea is to search for the package by phone number. For issuance and notifications, the phone helps, but a full search goes by tracking and shipment data. The tracking is the main key. Without it, the search turns into guessing.

How to reduce the risk of loss next time

For expensive items, choose a shipment with tracking and declared value. Make the packaging sturdy: box, bubble wrap, tape, readable address, proper postal code. Do not write the data crookedly. Postal sorting does not like riddles.

It's better for the sender to take photos of:

  • the receipt;

  • the tracking number;

  • the box before handing it over;

  • the address label;

  • the contents before packaging.

It's useful for the recipient to enable electronic notifications and tracking in the app. A paper notification can get lost, while a push usually arrives faster.
