The courier was two hours late, spoke rudely, or marked the order as delivered, even though you received nothing. Such situations cannot be attributed to the "human factor," especially when the client paid for door delivery and agreed on a time frame in advance.

The first rule is not to argue emotionally. Document the facts, save the correspondence, and contact support through the official channel. The more accurately you describe the problem, the harder it will be for the service to respond with a template reply.

What actions of the courier are considered violations

Not every inconvenience indicates a violation. The courier may get stuck in traffic, be delayed at the previous address, or not find the entrance right away. The problem arises when the employee ignores agreements, is rude, misleads the client, or refuses to perform the paid service.

There is a reason to contact support if the courier:

  • arrives noticeably later than the agreed time frame and does not warn;

  • is rude, raises their voice, uses insults or threats;

  • refuses to go up to the apartment without a valid reason;

  • demands an additional payment that is not in the order;

  • asks for the pickup code before handing over the package;

  • leaves the order at the entrance without the client's consent;

  • marks the delivery as completed before the time;

  • hands over a damaged, opened, or someone else's order;

  • does not check the address and leaves without trying to contact the recipient.

The phrase "the courier does not call" does not, by itself, prove a violation. Some services communicate only through chat or push notifications. Check the platform's rules and your phone settings. If the employee did not write, did not call, and immediately marked the delivery attempt as unsuccessful — this is already a significant reason for a complaint.

Is the courier obliged to go up to the apartment

The answer depends on the conditions of the specific delivery. If the order specifies delivery to the door, the employee must hand over the package at the specified address, not at the car or the entrance to the yard. Exceptions may occur in closed areas, non-working intercoms, lack of an elevator for heavy cargo, or direct restrictions specified during the order process.

When the courier demands you to come down without explaining the reasons, open the order card and check the service format. There is no need to have a confrontation in the entrance. Write in the support chat: "The order was paid for with delivery to the door. The courier refuses to go up. Please help complete the delivery under the agreed conditions."

Delivery employees often refer to the route as a "flight," orders as "points," and an overloaded list of addresses as a "mess." This explains the delay but does not absolve the obligation to communicate properly with the client.

How to document lateness or rudeness

Support needs verifiable data. The message "your courier is terrible" conveys emotion but does little to help resolve the issue. A good complaint includes the order number, time, address, a description of specific actions, and the desired outcome.

  1. A screenshot of the agreed delivery time frame.

  2. The history of status changes.

  3. Correspondence with the courier and support.

  4. The phone number from which the call was made.

  5. Photos of the damaged packaging or the place where the order was left.

  6. A recording of the conversation, if made legally.

  7. The names of witnesses when the conflict occurred in front of others.

Clearly specify the exact time of events. Not "was very late in the evening," but "the time frame was from 18:00 to 20:00, the employee arrived at 21:35 and did not warn." Facts work better than evaluations.

Where to file a complaint about the courier

Start with the company that accepted the payment and processed the order. This could be an online store, marketplace, restaurant, aggregator, or the courier service itself. It is not always meaningful to look for the employer of a specific employee: the platform through which the service was ordered will find the order by number faster and check the route.

Use channels where the history of the complaint is preserved:

  • chat within the app;

  • feedback form on the website;

  • support email;

  • personal account;

  • written complaint at the pickup point or company office.

A phone call is suitable for urgent resolution, but after the conversation, duplicate the complaint in writing. Indicate when you called and what the operator replied.

A complaint about the courier should contain a clear demand. For example: conduct an investigation, refund the delivery cost, redeliver the order, cancel the incorrect status, or provide a written response. A request to "look into it" is too vague.

How to write a complaint without unnecessary emotions

A working formulation looks like this:

"Order No. 45821 was supposed to be delivered on July 14 from 16:00 to 18:00. At 18:40, the courier reported that they would not go up to the apartment and demanded to come to the car. The order card specifies delivery to the door. After my refusal, the employee marked the order as undelivered. I ask you to check the courier's actions, organize a redelivery, and refund the payment for the unfulfilled service."

Do not attribute motives to the employee and do not get personal. Write about actions: refused, did not call, marked the wrong status, demanded money, raised their voice. Such text is easier to pass on to the quality control service.

What to do if support does not respond

Keep the complaint number and the timeframe given by the operator. If there is no response, send a follow-up complaint and attach the first message. Indicate that the problem remains unresolved.

Further actions depend on the situation:

  • for an undelivered paid order, demand a refund;

  • for damaged goods, keep the packaging and take photos before unpacking;

  • for an overcharge, request a breakdown of the payment;

  • for threats or attempts to enter the residence, cease contact and contact the police;

  • for regular violations, send a complaint to the service owner or the relevant consumer protection authority.

The rules for providing courier services are usually outlined in the offer, order card, and delivery conditions. Take a screenshot of the relevant point before making a complaint. The company may update the page, and a saved copy will confirm what conditions were in effect at the time of ordering.

How to reduce the risk of problems with the next delivery

Check the phone number, address, building, entrance, and intercom code. Add a short comment for the courier: where the entrance is, whether the elevator works, if the order can be left with the concierge. Do not provide the pickup code in advance. Only give it after you have seen the order and checked the packaging.

For expensive purchases, turn on video before opening the box. If the packaging is damaged, record dents, seals, and the label with the tracking number. Do not agree to a verbal promise that "support will sort it out later." First, document the condition of the package.

A calm and precise complaint yields better results than a conflict with the courier. Your task is to confirm the violation, state the demand, and keep a record of the communication history. Then the service will have enough data to check the employee, correct the order status, and compensate for the unfulfilled service.
